Privacy Policy

Effective date: 12 October 2026

Who we are

Team Care Compliance Ltd is responsible for the personal information we use to handle website enquiries, arrange consultations and manage our business relationships.

This policy covers teamcarecompliance.org.uk, enquiries and bookings made through it, and related communications. Information provided during a consultancy engagement may also be covered by the engagement’s confidentiality and data-processing terms. This notice does not replace those terms.

Information we collect

Depending on how you use the website and contact us, we receive:

  • Contact and business details you provide, such as your name, email address, telephone number, organisation and role.
  • Enquiry messages, information about the support you request, and our correspondence with you.
  • Booking details, including your chosen appointment, time zone, and information submitted through the booking form.
  • Your marketing preferences and records of any consent or withdrawal.
  • Technical information needed to deliver the website and embedded services, such as your IP address, browser, device, requested page and request time.
  • Cookie choices and, if you allow optional Google tags, information about visits and interactions collected through those tags.

Public reviews displayed through our reviews provider can include the reviewer’s published name, profile image, rating and review text.

Please do not include identifiable care records, health information or other sensitive information about service users or staff in an initial enquiry or booking. If this information is needed for an engagement, agree an appropriate way to share it with us first.

Why we use information

We use personal information for the following purposes and lawful bases:

  • Answering enquiries and arranging services: taking steps at your request before entering a contract, or performing that contract where you are the contracting individual. Where you act for an organisation, we rely on our legitimate interests in communicating with business contacts and providing the requested support.
  • Managing appointments and business relationships: our legitimate interests in arranging meetings, responding to requests and administering our services, or performance of a contract where applicable.
  • Operating and protecting the website: our legitimate interests in delivering a reliable website, diagnosing faults, preventing misuse and protecting information.
  • Optional analytics and advertising technologies: your consent through the cookie banner.
  • Promotional communications: your separate marketing opt-in. Making an enquiry or booking a consultation does not itself subscribe you to marketing.
  • Legal obligations and disputes: compliance with applicable legal obligations, and our legitimate interests in establishing, exercising or defending legal claims.

Where we rely on legitimate interests, those interests must be balanced against your rights and reasonable expectations. You can object to this use of your information.

You can withdraw marketing consent at any time using an unsubscribe option in a message or by contacting us. This does not affect the lawfulness of earlier processing. We may still send communications needed to answer your enquiry or administer a booking or service.

Service providers and sharing

The website uses the following services:

  • Vercel hosts and delivers the website. Requests to the website provide technical information to the hosting service.
  • LeadConnector / HighLevel provides the embedded booking calendars and processes the information submitted through them.
  • Microsoft Teams is used for consultations where specified in your booking confirmation.
  • ReputationHub / LeadConnector supplies the embedded Google reviews widget. Visiting a page with the widget connects your browser to that provider.
  • Google Tag Manager loads configured Google analytics and advertising tags after you select Accept All.

Providers receive information needed for the service you use. Some also process information for their own purposes under their privacy notices. Links to Google reviews, social networks and other external websites take you to services with their own privacy practices.

Information may also be shared with people working on our behalf who need it to handle your request or deliver an agreed service, and with professional advisers or authorities where needed for legal obligations or claims. Service-specific arrangements are addressed in the relevant engagement.

International processing

Our providers may process information outside the United Kingdom, including in the United States. This website does not promise UK-only storage.

Providers publish information about their processing and transfer arrangements in their own terms, including Vercel’s Data Processing Addendum, HighLevel’s Data Processing Agreement, Microsoft’s privacy statement and Google’s privacy policy.

Depending on the provider and service, transfer arrangements may involve UK adequacy regulations or contractual safeguards such as standard contractual clauses with a UK addendum. The published provider terms do not, by themselves, establish which arrangements apply to a particular account. Contact us for information about the arrangements applicable to your information and how to obtain details of relevant safeguards.

Cookies and browser storage

The website uses a cookie called simple_consent to remember your cookie choice for up to 365 days, unless you clear it sooner. It records your choice and the time it was made.

  • Necessary Only: optional Google analytics and advertising consent remains denied, and our consent script does not load Google Tag Manager.
  • Accept All: Google analytics and advertising consent is granted, and Google Tag Manager is loaded.

The banner offers these two choices, not separate category-by-category settings. Booking calendars and the reviews widget operate separately from this Google-tag consent control; Necessary Only does not prevent all connections to those providers. Embedded providers may use their own cookies or browser storage.

To change your choice, use your browser’s site-data settings to remove the simple_consent cookie for this website, reload the page and make a new choice. Choosing Necessary Only prevents our script from loading optional Google tags on that new page load; it does not itself delete cookies already set by other services. You can remove or block those through your browser settings, although this may affect embedded features.

Where you use a colour-theme preference, the website can store it in your browser’s local storage until it is cleared. This is separate from marketing consent.

How long we keep information

We use purpose-based retention criteria rather than a single fixed period for all records:

  • Enquiries and consultations: we keep information while handling your request and any related follow-up. Once that purpose has ended, we assess whether there is a continuing business or legal need to retain it.
  • Client and engagement records: retention depends on the duration of the relationship, the agreed services, applicable accounting or other legal requirements, and the need to resolve complaints or establish, exercise or defend legal claims.
  • Marketing records: we use your contact details for marketing while your consent remains in place. If you withdraw it, we stop that use. We may retain limited consent and suppression records where needed to demonstrate your choice and avoid contacting you again.
  • Technical information: retention depends on the operational or security purpose and the relevant provider’s service and settings. The consent cookie’s duration is stated above.

When information is no longer needed for its purpose or an applicable legal requirement, our approach is to delete it or anonymise it. These criteria do not mean that the website automatically deletes enquiry, booking or client records after a preset interval. Contact us if you need information about retention of a particular record.

Your rights and complaints

Depending on the circumstances and lawful basis, UK data protection law gives you rights to request access to your personal information, correction, erasure, restriction of processing and portability, and to object to processing. These rights are subject to applicable conditions and exceptions.

You can withdraw consent where processing relies on it and object to direct marketing at any time. We may need information to verify your identity before responding to a request.

Contact hello@teamcarecompliance.org.uk with a request or concern. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, through ico.org.uk/make-a-complaint or on 0303 123 1113. You do not have to contact us before approaching the ICO.

Changes to this policy

We will update this policy when our website or relevant practices change and revise the effective date above. Please check it when providing new information or using a new service.
